Job Description

Key Responsibilities:

1). Office Administration:

  • Oversee general office operations, ensuring a clean and organized workspace.
  • Maintain office supplies and equipment, ordering replenishments as needed.
  • Handle mail, packages, and deliveries efficiently.

2). Reception and Communication:

  • Serve as the initial point of contact for visitors, clients, and incoming calls.
  • Redirect inquiries to the appropriate personnel and provide assistance as required.
  • Maintain contact lists for employees, clients, and vendors.

3). Scheduling and Meetings:

  • Assist in scheduling appointments, meetings, and conference calls for staff members.
  • Prepare meeting rooms, arrange necessary equipment, and manage meeting calendars.
  • Send out meeting invitations and reminders.

4). Document Management:

  • Organize and manage office documents, files, and records.
  • Assist in creating and formatting documents, reports, and presentations as needed.

5). Vendor and Supplier Relations:

  • Communicate with vendors and suppliers to order office supplies and services.
  • Negotiate contracts and pricing agreements to optimize cost-efficiency.

6). Event Planning:

  • Assist in planning and coordinating office events, workshops, and team-building activities.

7). Office Support:

  • Offer general administrative support to office staff, including assisting with various tasks and projects.
  • Handle ad-hoc duties assigned by management.
