Job Description
Key Responsibilities:
Executive Support:
- Manage the founders’ calendars, including scheduling meetings and coordinating travel arrangements.
- Draft and proofread correspondence, reports, and presentations.
- Assist with the preparation and execution of client events and marketing activities.
Client Management:
- Serve as the primary point of contact for clients, managing inquiries and scheduling appointments.
- Prepare and organize client files for meetings, ensuring all necessary documentation is available.
- Assist in maintaining client data integrity in our CRM system.
Office Administration:
- Manage day-to-day office operations,
- Maintain office supplies and ensure the office environment is organized and efficient.
- Handle correspondence, including emails, phone calls, and mail.
Operational Support:
- Process new account paperwork and ensure timely updates to client databases.
- Coordinate with financial advisors to ensure client service effectiveness.
- Maintain confidentiality of sensitive information and adhere to company policies
Requirements:
- Proficiency in MS Office Suite and basic accounting software
- Strong organizational and time management skills
- Excellent written and verbal communication
- Ability to handle confidential information with discretion
- 2+ years of experience in an administrative role, preferably in finance or professional services
