Job Summary
We are seeking an experienced and highly organized Admin Manager based in Mumbai, who will closely work with employees and admin teams across pan-India locations. This role is critical in ensuring seamless administrative operations, efficient logistics management, strong vendor coordination, and standardized processes across all offices nationwide.
The ideal candidate will be proactive, detail-oriented, and capable of managing multiple stakeholders while maintaining cost efficiency, compliance, and service quality.
Key Responsibilities
Office & Facilities Management (Pan-India)
Oversee day-to-day administrative and facilities operations across all India offices, with Mumbai as the base location.
Manage office infrastructure, including maintenance, repairs, renovations, and space planning.
Ensure availability of office equipment, consumables, and amenities across locations.
Implement and monitor standardized office policies and procedures Pan-India.
Vendor Management & Coordination
Identify, onboard, negotiate, and manage vendors for housekeeping, security, maintenance, transport, travel, pantry, and other admin services.
Ensure strong coordination with vendors to maintain service quality, timelines, and cost effectiveness.
Review vendor performance, handle escalations, and renew contracts as required.
Logistics & Travel Management
Manage Pan-India travel and logistics operations, including flights, hotels, local transport, and employee movement.
Ensure compliance with company travel policies and cost controls.
Act as the central point of coordination for logistics requirements across locations.
Team Coordination & Stakeholder Management
Closely work with pan-India employees and admin teams to ensure smooth administrative support.
Guide and coordinate with location-wise admin staff for uniform execution of processes and service standards.
Build strong collaboration between the Mumbai office and regional teams.
Budget & Cost Management
Prepare and manage the pan-India administrative budget.
Track expenses, optimize costs, and ensure efficient resource utilization.
Prepare MIS, budget forecasts, and expense reports for management review.
Compliance & Documentation
Ensure compliance with applicable statutory, legal, and regulatory requirements related to facilities, safety, and employee welfare.
Maintain accurate records, vendor contracts, invoices, and administrative documentation.
Employee Support (Onboarding & Offboarding)
Support HR with administrative aspects of onboarding and offboarding, including workstation setup, access cards, asset allocation, and logistics coordination.
Process Improvement & Reporting
Identify opportunities to improve administrative and logistics processes.
Implement best practices for efficiency, standardization, and scalability.
Prepare periodic reports on admin operations, logistics, and vendor performance.
Qualifications & Skills
Bachelor's degree in Business Administration, Management, or a related field.
10+ years of experience in administrative or facilities management, preferably with pan- India exposure.
Strong expertise in logistics management, vendor coordination, and facilities operations.
Proven ability to work closely with cross-location teams and employees.
Excellent communication, coordination, and stakeholder management skills.
Strong negotiation and problem-solving abilities.
Proficiency in MS Office (Excel, Word, PowerPoint); experience with ERP/Admin systems is an added advantage.
Willingness to travel occasionally as per business requirements.
