Job Responsibilities
Responsible for managing weighbridge weight capture, billing, invoicing, and dispatch documentation with complete accuracy and process discipline. Ensures correct recording of gross/tare weight, generation of invoices, delivery challans, weight slips, and e-way bills in ERP on time. Coordinates with sales, warehouse, loading, transporters, and dispatch teams to enable smooth vehicle movement and error-free billing. Maintains daily weight logs, reconciliation of dispatched tonnage, and audit-ready records. The role demands strong numerical accuracy, system discipline, and proactive issue reporting to support seamless logistics and dispatch operations.
Weighbridge Operations:
- Capture gross & tare weight for all inbound and outbound vehicles
- Ensure zero error in weight recording
- Maintain and monitor weighbridge system, sensors, and printer
- Guide drivers for correct vehicle positioning on the weigh scale
- Report any machine malfunction or deviation immediately
Billing & Invoicing:
- Generate sales invoices, delivery challans, e-way bills, and weight slips
- Verify material type (TMT / Binding Wire), size, quantity, plant source, customer details
- Ensure billing is done in ERP / dispatch system without delays
- Cross-check weight slips vs billed quantity before final invoice generation
Documentation & Coordination:
- Maintain dispatch register, weight log, invoice file, vehicle entry file
- Coordinate with sales, warehouse, loading team, crane operators, and transporters
- Ensure every dispatched vehicle carries:
- Invoice / Delivery Challan
- Weigh Slip
- E-Way Bill (if applicable)
- Test Certificate (if required)
Compliance & Accuracy:
- Follow dispatch and billing SOPs strictly
- Ensure compliance with GST invoicing norms and transport documentation
- Maintain audit-ready records
- Reconcile daily dispatched tonnage vs system reports
Desired Academic Qualifications
- Graduate / Diploma (Any stream)
Desired Work Experience
- 1–3 years in:
- Weighbridge handling OR
- Billing / dispatch documentation OR
- Logistics invoicing in industrial/warehouse setup
